Introduction
The Document Tab allows you to store, manage, and organise all property-related documents in one central place. This includes certificates, compliance documents, and general files uploaded during property creation or management.
This guide explains where to find the Document Tab, what you can do within it, and how document permissions work.

Accessing the Document Tab
You can access the Document Tab within a property's detail page:
Navigate to Lettings > Properties > select a property and enter its detail page by clicking on its address
It appears before the Activities tab
Document Tab Layout
The Document Tab includes:
A search bar (search by document name)
A "+" Upload button at top right (visible only to users with document management permissions)
A list of all documents uploaded to this property, including documents added during property creation
Each document displays:
Checkbox
Document name
File size
Last updated date (e.g. 18 July 2025, 08:37)

Compliance document details (shown only if the file is a certificate)
Certificate type
Expiry Date (Expired dates are highlighted)
Document actions (based on permissions)
Documents are sorted by upload date (newest first).
Uploading a Document
Click "+" at top right or "Upload" on the centre while no document exists to upload a new document (permission required).
Upload Options
- File
- Dropbox
- Google Drive
- DocuSign
If uploading a compliance certificate
If you confirm the file is a certificate, additional fields appear:
Certificate Type (required)
Rating (optional)
You may choose the rating from A to G
Valid From / Expiry Date (required)
File Replacement
If a file with the same name already exists, the system will rename the new file (e.g. a.pdf → a(1).pdf)
Managing Documents
Each document contains a set of actions. Availability depends on user permissions.
Single-Document Actions
- Update Certificate: Appears only for compliance documents. Allows editing of:
- Preview: Accessible to all users
- Rename
- Download
- Send Email: Send the document to one or more recipients.
- Delete

Sync to Application: Displayed only when:
The property has applications, and

The user has permission
You can choose:
An application
A folder within it
Once completed, under the document you will see: Synced to application: #1234
The ID is clickable and opens the relevant application detail page.

Sync to Tenancy: Visible only when:
The property has an active tenancy (Lettings only)

The user is a property manager, negotiator, or company owner/admin
You may select:
A tenancy
Tenancy document type
Multiple-Document Actions
When selecting multiple documents, you can:
Download
Delete
Send Email
Sync to Application (permission required)
Sync to Tenancy (permission required)
Actions match the individual document actions.
Permissions in the Document Tab
Everyone Can:
View the Document Tab
See all documents
Only Company Owner/Admin, Negotiators, and Property Managers Can:
Upload documents
Update certificates
Rename documents
Delete documents
Sync to application
Sync to tenancy
These users are considered to have document management permissions.
Certificates in the Edit Property Page
To access the Edit Property Page, one way is navigating to the property's detail page and click the ... at top right, select Edit Property:
Certificate is in the Step 3 of the pipeline:
Only the latest certificate of each type appears.
If a certificate is deleted:
It is removed from both Edit Property and Documents Tab
The system does not automatically show older certificates when the latest is removed.
Newly added certificates immediately appear in the Document Tab
System Tasks Related to Certificates
Certificate-related system tasks are shown only when:
The certificate does not exist or is expired, and

The property status is not one of the following:
Withdrawn

Q: Can a document be synced to multiple applications?
Yes.
All associated application IDs will appear, for example:
Synced to application: 101, 104
