Tip: In this guide, "you" refers to the consumer using the portal. This helps you understand exactly what your clients see and do during their journey.
Introduction
The Viewings section of the Consumer Portal lets you manage property viewings in one place. What you can do depends on your role — buyers and tenants can schedule and manage their own viewings, while vendors and landlords can review and approve viewings for their properties.
Summary
For Buyers and Tenants
Viewing your viewings
Your Viewings tab shows all the viewings associated with your account. You can filter by status — Awaiting Confirmation, Upcoming, Completed, or Cancelled — and by type (In-Person or Virtual Tour). Upcoming and pending viewings appear first, followed by completed and cancelled viewings.
For each viewing, you'll see:
The property address and a header photo
The viewing date, time, and type
Your accompanying agent's name, phone number, and email
The current viewing status and your approval status
Joining a virtual tour
If your viewing is a Virtual Tour, you can copy the meeting link from here.
Approving or rejecting a viewing
If your agent has scheduled a viewing that requires your confirmation, you'll see an Approve or Reject option. Once you approve, all relevant parties are notified. If you reject, your agent will be informed immediately.
Requesting to reschedule
If you'd like to change the time of an upcoming viewing, select Reschedule. You can propose a new time and add a reason. Your agent will then be notified of your request. If you submit multiple reschedule requests, only the most recent one will be shown.
Confirming attendance after a viewing
Once a viewing time has passed, you'll be asked: "The viewing time has passed. Did you attend?" Select I attended or Didn't Attend to confirm your status. This helps keep your agent up to date.
Adding a viewing to your calendar
Use the Add to Calendar option to add any upcoming viewing directly to your Google, Outlook, or device calendar.
For Vendors and Landlords
The Viewings tab is available to the primary vendor or landlord for each property.
Your viewings dashboard
At the top of the Viewings tab, you'll see three key metrics:
Today's Viewings – viewings with an upcoming status scheduled for today
Awaiting Confirmation – viewings currently awaiting your confirmation
Total Viewings – all viewings across your properties, regardless of status
Filtering viewings
You can filter by property and by viewing status (Awaiting Confirmation, Upcoming, Completed, or Cancelled). The portal will remember your last-used filters.
Approving a viewing
Select Approve next to a viewing to confirm it.
Rejecting a viewing
Select Reject to decline a viewing. Your approval status will update to Rejected, and the relevant parties will be informed.
Requesting to reschedule
If the proposed time doesn't work for you, select Reschedule. Enter a proposed new time and, optionally, a reason. Your agent will receive your request and follow up with you and the viewer.
Adding a viewing to your calendar
Use the Add to Calendar option to save any upcoming viewing to your preferred calendar application.
