Introduction
The Viewing Instruction settings allow you to specify exactly how a property can be accessed, when viewings may take place, and what rules apply when arranging them. These instructions can be configured when adding or editing a property, or directly from the property detail page.
All viewing instruction fields are optional and do not block property creation or updates. Whatever you enter will be saved once the property is saved successfully.

Where to Configure Viewing Instructions
During Property Creation or Edit
Navigate to Lettings > Properties > Add Property. Viewing Instruction is Step 5 of the Add/Edit Property flow. It contains all configuration options for access, availability, notice requirements and additional notes.
From the Property Detail Page
In the … (More Actions) menu in property detail page, select Configure Viewing Instruction.
If a system task called Configure Viewing Instruction is present, completing the configuration (at least one access point + available times set) will automatically mark that task as completed.
Viewing Availability
Viewing Availability determines when viewings can be booked.
Maximum Viewing Duration
Select a default appointment length: 15 min、30 min (default)、45 min or 60 min
Available Times (Weekly Schedule)
Defines the time windows viewings can be booked for each day. Default schedule:
Mon–Fri: 10:00–17:00 (Thu extended to 19:00)
Sat: 11:00–16:00
Sun: no default availability
You may:
Add up to three time slots per day
Reset to the default schedule at any time
Overlapping times will merge automatically.
Restricted Times (Optional)
Blocks specific times when viewings cannot take place.
Turn the toggle on to enable restrictions. Two types are supported:
One-time Restrictions
Exact date (today or future)
Start time and end time
Up to five one-time restrictions
Overlapping restrictions merge automatically
Recurring Restrictions
Choose one or more days of the week
Start time and end time
End date (restriction applies until this day)
Up to five recurring restrictions
Access Instructions
Access Instructions define how agents and viewers can enter the property. You can add up to five total entry points, across any categories. Each entry can be edited or deleted at any time.
Three access categories are available:
a.Estate Gate
Access Method (single selection, Gate Code as default):
b. Building Entry
Access Method (single selection, Door Code as default ):
c. Property Entry
Access Method (single selection, Lockbox Access as default):
All these three entry points support Reference Photo and Additional Instructions.
d. Burglar Alarm System (Optional)
Switch on if the property has an active alarm system. This reveals: Alarm Panel Location、Arm Code、Disarm Code and Alarm Instructions.
Notice Requirements
Set rules for how early a viewing must be booked.
Minimum Notice Period
Options include:
No Notice Required (default)
30 minutes
1, 2, 4, or 24 hours
48 hours
Example:
If the current time is 13:30 and minimum notice is 30 minutes, the earliest bookable viewing is 14:00.
Require Pre-approval
Turn on if viewing requests require approval before confirmation. Approval options (multi-select):
Negotiator Approval (default)
Owner Approval

If a system-generated task appears for this step, clicking Configure takes you directly to the Viewing Instruction page.
The task completes automatically once:
At least one access point is added, and
Available Times are not empty
You can also manually mark it as complete if needed.
