Introduction
The Tenancy List provides an organised overview of all tenancy records managed within LoftyWorks. It helps you quickly locate tenancies, check their current stage and take relevant actions such as editing or duplicating a record. You can access this section from the Lettings module.
Summary
Tenancy Status Tabs
At the top of the page, you'll find several tabs that group tenancies by their status. These tabs make it easier to navigate large portfolios.
All Tenancies
Shows every tenancy, regardless of its current status.
Current
Displays tenancies that are active or progressing, including statuses such as:
Active, Renewing, Renewed, Vacating, Vacated, Check-in, Check-out, Periodic, Upcoming.
Expiring
Lists tenancies approaching their end date. The Expiring tab offers additional tools specific to upcoming end-of-term agreements, and it's slightly different from other tabs :
Filtering
Available filters include:
Current stage
Ending in (30, 60 or 90 days)
Time Range
Columns in the Expiring List
Each record shows:
Property address
Current stage (e.g., Waiting to Start)
Days remaining
End date
Reference
Primary tenant name
Actions
Depending on the tenancy’s stage, you may see:
Start – to begin tenancy setup when it is waiting to start
Continue – to resume a renewal process
Archived
Includes completed, expired, or externally let tenancies that are no longer active.
Draft
Contains tenancy records still being prepared. Only admins can delete draft tenancies.
Searching and Filtering
The Tenancy List provides several tools to help you find what you need quickly.
Search box – Search by property address or tenancy reference.

Filters – Narrow results by:
Status
Tenancy type (e.g. AST, Contractual, Lease)
Start date
End date
These filters help you locate specific tenancies or review groups of tenancies based on timeframes or agreement types.
Tenancy List Overview
Each tenancy appears in a structured table showing:
Address – Property name, address and property image
Status – e.g. Vacating, Renewed, Vacated
Type – AST, Contractual, Lease, etc.
Start Date and End Date
Reference – A unique system-generated tenancy reference (e.g. TEN-060825-0001)
Amount – Rent amount
Period — Payment Schedule

Actions – Edit, Duplicate or Delete (restricted to admins for draft tenancies)

Duplicate: Creates a new tenancy in Draft status based on an existing one. This is useful for renewals or creating repeat agreements. The duplicate includes key details and tenant structure but does not copy uploaded documents.
Delete: Only users with admin rights may delete draft tenancies.
