Introduction

The Keys List provides a consolidated view of all property keys managed by your agency. The list is designed to help Sales and Lettings teams quickly identify key availability, last activities, and holders, and to review all keys associated with each property in a structured, easy-to-navigate format.

Accessing the Keys List

Sales → Keys

When accessed via Sales, the Keys List only displays keys of Sales properties (For Sale).

Status Tabs & Statistics

Above the table, the Keys List displays interactive status counts. These numbers automatically update based on filter conditions (similar to the behaviour on the Progression List page).

Statistics include:

• All – total properties currently displayed

• Available – count of keys in Available status

• Checked Out – count of keys currently checked out

• Lost / Damaged – count of keys marked as Lost or Damaged

Search Bar and "Last Activity" Filter

You can use the search bar and "last activity" filter to search for specific lettings applications:

• Holder Name

• Today

• Last 7 Days

• Last 30 Days

• Last 90 Days

• Older

Property-Level Fields (Each Row)

The Keys List displays one row per Property. You can expand any property row to view all keys linked to that property. Each property row displays key information summarised for the entire property:

1. Property (Image + Address)

Shows the cover image and full address. Clicking the address will direct you to the Keys tab on the property details page.

2. Total Keys

The total number of keys recorded under this property.

3. Available Keys

Count of all keys currently in Available status.

4. Last Activity

The most recent activity date across all keys under the property. This helps teams identify properties that haven't had key movements for a long period.

Viewing Keys Under a Property

When you click the expand arrow at the end of the row, you can see all associated keys. Each key shows:

Keys follow the sorting logic :

1. By Status :

   • Available

   • Checked Out

   • Damaged

   • Lost

   • Archived

2. Within the same status:

   • Sorted by creation time descending (newest first)
