Introduction
Sales progressions and lettings applications often require the same documents to be used repeatedly. Document Templates allow you to prepare these documents once and reuse them across your sales progressions and lettings applications, helping your team work more efficiently and consistently.
Note: All LoftyWorks users can access Document Templates from their settings. However, you must have the appropriate templates permission to create or edit templates. If you do not see these options, please contact your account owner or administrator.

Creating and Editing a Document Template
To get started, navigate to:
Company Settings > Progressions > Document Templates
The template must be created for the specific type - Sales Progression or Lettings Application. Existing templates will be available here or click + Add Template at top-right corner to create a template.
Give your template a name, select the template type, then upload your documents.
Once you have uploaded the template documents, click the Edit icon to add text fields, check boxes, and radio buttons to your document.
Double click a Text box to add an autofill field from the standard and custom fields.
Autofill Fields
Autofill fields automatically populate information from the associated progression/application.
Dates
For both Sales Progression and Lettings Application, the relevant date fields will be automatically populated based on the their details.
Property Fields
The following property details can be used in templates, which will pull data from the progression's linked property:
Address
Property Status
-
Price
For To Let properties, rent is displayed as £X,XXX.XX pcm
Property Type
Bedrooms
Bathrooms
Reception Rooms
Floor Area (sqft)
People Fields
People-related fields are populated based on the progression/application:
Home Address will be available for contacts
You can include multiple people in one role (e.g., multiple buyers or tenants) and their information will be populated accordingly
Accounting Fields
The following fields are available for accounting-related data:
Sales Price / Agreed Rent
Commission Revenue
Commission Revenue After Adjustment
Organisation Fields
You can also include organisation-related data:
Organisation (the company associated with the progression/application)
Owner’s Company (the company of the progression/application owner)
Limitations
Document Limitations
- Documents must be in pdf format
- Up to 40 documents can be added to each template
- Each document can be up to 30MB
Template Limitations
Enterprise accounts can create unlimited templates

Non-Enterprise accounts can create:
Up to 50 templates at the company level
Up to 20 templates in each team scope
Editable Elements per Document
- Up to 200 Text boxes
- Up to 50 Checkboxes
- Up to 50 Radio buttons
Applying a Document Template to a Progression/Application
To apply a document template:
Go to Sales Progression or Lettings Application
Open the relevant progression or application
Navigate to Documents
Select Add New > Document Template
Choose the appropriate template and document
You can add multiple templates and documents as needed.
If your template includes autofill fields, ensure they sync correctly by reviewing the populated data after applying the template to the progression / application. You can edit the document to make adjustments where necessary.
